Furthermore you can also save money because you are not paying money for features that you do not need to use.

Ideally you want to talk with a vendor that can demonstrate the system in person and guide you through each of the features that are appropriate for the needs of you, your team and your clients. They ought to be confident enough to show how it works. The extra pressure of doing it in front of the client is a good test of how well they work and how effective the program is. It also means that you should be able to call on them when you need them if you encounter any software problems.
